Construction Contractor Creates Seamless Collaboration Experience With Microsoft 365

Executive Summary

A general construction contractor recognized their need to migrate to the cloud so internal users could access files from anywhere to collaborate on projects quickly. Withum was brought in to migrate their systems to Microsoft 365 and provide the company with the continued support they need to make the migration a success. Withum implemented Microsoft Teams, OneDrive and Exchange Online to help the team work efficiently.

The Client

A construction company based out of Irvine, California, founded in 1947, offering a comprehensive list of construction services with a focus on commercial construction, particularly medical, retail, senior living, multi-family and mixed-use projects.

The Challenge

The construction company was considering a migration to the cloud to optimize its access to files and provide a better experience to its employees. While the company had internal resources to perform the migration, they were looking to accelerate the process and make sure it was done right. Before the transformation, they used Gmail, GoogleDrive and Slack as their primary sources for content, collaboration and communication. The team realized that it was getting challenging to collaborate, and it was hard to find the right content at the right time which created inefficiencies.

The Approach And Solution

Withum was brought on to migrate the company to Microsoft 365. First, Withum needed to set up their tenant and configure it. Once this was in place, governance was put in place so they could start moving everything over. They started with migrating their email from Gmail to Microsoft Exchange. Once this was completed, they moved all of their files from Google Drive to OneDrive. The Withum team worked with the construction’s IT team to map out their content and set permissions. Next, they migrated the files over to OneDrive using a migration tool called mover.io. They then conducted a series of meetings with stakeholders to understand the company culture and learn how the team would utilize Teams. After summarizing the meeting results, Withum rolled out Teams using industry-specific information and conducted training for the employees. They also put a governance plan in place and provided the company with best practices and recommendations for security and compliance through additional training. Withum helped the construction company team by providing them with a timeline for communication and roll out internally. They continue to support the company with questions and troubleshooting through their continued managed services support agreement.

The Results, ROI

As a result of the migration to Exchange Online, OneDrive and Teams, the construction company now has one place to find all their information – a single source of truth. Collaboration has been made easy, and real-time updates can now be made when working on a project together. The migration over to the Microsoft 365 products has saved the team ample time and increased productivity.
